Thank you for choosing SwiftPlus. These Terms and Conditions ("Terms") form a binding agreement between you and SwiftPlus.

These Terms apply whether you use SwiftPlus on the web at www.swiftplus.app, through our mobile app, or both. Please read them carefully. By creating an account or using our services, you agree to be bound by these Terms. If you do not agree, please do not use SwiftPlus.

Who We Are

SwiftPlus is a school management platform. We provide tools for schools to manage academics, finance, communication, attendance, and more. Our services are available as a website and a mobile application. To know more, read about SwiftPlus features.

Eligibility - Who Can Use SwiftPlus

SwiftPlus has two separate types of account, each for a different group of users:

School staff accounts - for authorised school staff (such as administrators, head teachers, DOS, teachers, secretaries, and finance or accounting staff) aged 18 and above.
Parent and guardian accounts - for the parents and guardians of students enrolled at a school that uses SwiftPlus, aged 18 and above.

By registering for either type of account, you confirm that you are 18 or older and that the information you provide is accurate and complete.

If you are a school administrator or staff member using SwiftPlus on behalf of a school, you confirm that you have the authority to bind that school to these Terms. The school may enter data about students of any age - but that data belongs to the school, and the school is responsible for obtaining any necessary parental or guardian consent as required by applicable law.

If you are a parent or guardian, you may create your own account to view your child's school information. Parent and guardian accounts are separate from staff accounts and are described in the Parent and Guardian Accounts section below.

Your Account

When you create an account, you are responsible for keeping your login details safe. Please do not share your password with anyone. You are responsible for all activity that occurs under your account.

If you suspect someone else has accessed your account, let us know immediately at support@swiftplus.app so we can help secure it.

Account Suspension or Termination by Us

We may suspend or terminate your account if you violate these Terms, engage in illegal activity, or if your account remains inactive for an extended period. We will notify you in advance whenever possible. If your account is terminated, you may request a copy of your data within 30 days by contacting us.

Staff Accounts

Staff accounts are linked to the school's SwiftPlus subscription and are not self-service - your school's system administrator creates them and controls staff access and permissions within the platform. Staff accounts are a separate account type from parent and guardian accounts, and the rules in this section apply to staff accounts only.

Staff Account Termination

Staff accounts are managed at the school level:

Your school's system administrator can deactivate or terminate your staff account through the admin dashboard.
Individual staff members who want their user account deactivated and their personal data removed can ask their school's system administrator, or email support@swiftplus.app directly. We honour such requests within 30 days.
If a school wishes to terminate its entire SwiftPlus account, the school must submit a written request to support@swiftplus.app. We will process the termination and remove all associated data in accordance with our data retention policy.

These pathways apply to accounts used on both the website and the mobile app. Because this page is publicly accessible, deletion requests can be made even without access to the app.

We may retain certain information longer if required by law, for fraud prevention, or to resolve disputes - but we will minimise this wherever possible.

Parent and Guardian Accounts

Parents and guardians can create their own SwiftPlus account to view information about their child - such as academic results, attendance, and fee balances. Unlike staff accounts, parent and guardian accounts are created and managed by you, not by the school. You do not need the school to create an account for you; you register directly, using your own details together with your child's details. The rules in this section apply to parent and guardian accounts only.

How We Decide Whether You Can Access a Student's Data

We take the privacy of student records seriously, so access is granted only after we confirm the connection between you and the student. When you register, you provide:

Your details - such as your name, phone number, and any other information the school holds about you; and
The student's details - such as the student's name and admission or student number.

You will be able to view a student's data only if the details you provide match the records that the student's school has entered into SwiftPlus. In other words, the school must already have your child and your own details on file, and they must match what you submit at registration.

If the details do not match, we will not grant access to any student data. In that case, please check the information you entered against what the school holds, or contact the school to confirm that your details are up to date, and try again. This matching requirement exists to make sure that only a student's genuine parent or guardian can see that student's records.

You are responsible for ensuring the details you provide are accurate and for keeping them up to date. If your details change, or if you believe access was granted to the wrong person, contact us at support@swiftplus.app immediately.

Deleting Your Parent or Guardian Account

As a parent or guardian, you can delete your own account at any time from the account settings in the app or website. Deleting your account removes your personal account information and revokes your access to any linked student's data. It does not delete the school's records about your child - those belong to the school. If you delete your account, you can create a new one later, subject to the same details-matching check.

Plans, Subscriptions, and Billing

SwiftPlus offers three subscription plans - Basic, Pro, and Enterprise - priced per active student per school term. Full details are available on our Pricing page.

How Billing Works

Schools are billed directly by SwiftPlus based on their enrolled student count each term. All subscriptions are managed through the SwiftPlus platform. SwiftPlus does not store your payment card details - all payment processing is handled securely by our payment partners.

Auto-Renewal

Subscriptions renew automatically at the end of each term. You cannot change your plan in the middle of the term - we have a strict window in which the school can change its plan. To manage or cancel your subscription, please contact our support team at support@swiftplus.app.

Cancellation takes effect at the end of the current billing term. You will continue to have access to your plan's features until then.

Refunds

Because billing happens at the end of the month - that is, after service has been delivered - refunds only arise where you have paid beyond the estimated and calculated amount. Such requests are handled on a case-by-case basis; otherwise, any payment in excess is carried forward to the following month. Please contact support@swiftplus.app and we will review your request.

Upgrading or Downgrading

You can upgrade or downgrade your plan at any time (for example, from Basic to Pro) in a specified window as guided in the settings tab. Upgrades take effect immediately, and you will be charged the prorated difference for the remainder of the current term. Downgrades take effect at the start of the next billing term.

Changes to Pricing

If we change our pricing, we will notify you at least 30 days in advance. The new prices apply from your next billing term. If you do not agree, you can cancel your subscription before the change takes effect.

Free Trials

If you are offered a free trial, your paid subscription begins automatically at the end of the trial period unless you cancel before then. We will remind you before the trial ends. You can cancel the trial at any time by contacting us.

Acceptable Use

We want SwiftPlus to be a safe and productive space for everyone. By using our platform, you agree that you will not:

Share student or staff data outside the platform without proper authorisation.
Use SwiftPlus for any illegal activity or to harass, intimidate, or discriminate against others.
Attempt to access another user's account, data, or areas of the platform you are not authorised to use.
Upload malicious code, viruses, or anything that could harm our systems or other users.
Scrape, crawl, or extract data from SwiftPlus using automated tools without our written permission.
Impersonate another person or entity.
Use the platform in a way that could damage, disable, or impair our services.

If we become aware of a violation, we may remove content, suspend your account, or take legal action as appropriate.

School Data and User Content

Schools own their data. When a school uses SwiftPlus to store student records, academic results, attendance, and other information, that data belongs to the school. SwiftPlus processes this data on behalf of the school and will not use it for any purpose other than providing and improving our services.

As a user, you retain ownership of any content you upload. You grant SwiftPlus a limited, non-exclusive licence to store, display, and process that content solely to provide you with our services. We do not claim ownership of your data.

We reserve the right to remove any content that violates our Acceptable Use rules or applicable law.

Intellectual Property

The SwiftPlus platform - including our software, logo, design, text, and graphics - is the intellectual property of SwiftPlus. You may not reproduce, distribute, modify, or create derivative works from our platform without our prior written consent.

Nothing in these Terms gives you ownership of any SwiftPlus intellectual property.

Privacy

Your privacy matters to us. Please read our Privacy Policy to understand how we collect, use, and protect your personal data. It forms part of these Terms.

Third-Party Services

SwiftPlus integrates with several third-party services to function properly:

Google Sign-In - for account authentication
Cloudflare R2 - for file and asset storage
ugsms - for sending SMS notifications to parents and staff
Resend - for transactional emails and updates

We are also planning future integrations with Gmail, Google Drive, and Google Meet where applicable, to enhance communication and collaboration within the platform.

Each of these services has its own terms and privacy policies. We are not responsible for the practices of these third parties. Our platform may also contain links to external websites - we encourage you to review their policies before sharing any data.

Limitation of Liability

SwiftPlus provides its services "as is" and "as available." While we work hard to keep the platform reliable and secure, we cannot guarantee that it will always be uninterrupted, error-free, or completely secure.

To the fullest extent permitted by law, SwiftPlus shall not be liable for:

Any indirect, incidental, or consequential damages arising from your use of the platform.
Loss of data, revenue, or business opportunities resulting from service interruptions or data inaccuracies.
Damages caused by your misuse of the platform or failure to keep your account credentials secure.
Issues arising from third-party services we integrate with.

Our total liability to you for any claim arising from these Terms or your use of SwiftPlus is limited to the amount you have paid us in subscription fees during the 12 months before the claim arose.

Indemnification

You agree to indemnify and hold SwiftPlus, its affiliates, and team members harmless from any claims, losses, or expenses (including legal fees) that arise from your misuse of the platform, violation of these Terms, or infringement of someone else's rights.

We reserve the right to take over the defence of any claim at our own expense. You agree to cooperate with us in such matters.

Governing Law and Disputes

These Terms are governed by the laws of the Republic of Uganda.

If a dispute arises, we encourage you to reach out to us first at support@swiftplus.app - we are reasonable people and most issues can be resolved with a conversation.

If we cannot resolve the issue informally, you agree that any dispute shall be resolved exclusively in the courts of Uganda.

Changes to These Terms

We may update these Terms from time to time. When we do, we will notify you by email and through an in-app notice at least 14 days before the changes take effect. If you continue using SwiftPlus after the changes take effect, you agree to the updated Terms. If you do not agree, you can request account termination before the changes take effect.

Other Legal Provisions

Force Majeure

SwiftPlus will not be liable for delays or failures caused by events beyond our reasonable control - such as natural disasters, internet outages, government actions, or other force majeure events.

Severability

If any part of these Terms is found to be unenforceable, the rest of the Terms remain in full effect.

Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and SwiftPlus regarding your use of the platform. They replace any prior agreements or understandings.

No Waiver

If we do not enforce a particular term, it does not mean we waive our right to enforce it later.
